Answers from the programs, by asking in chat.
The company’s programs know whether an item is in stock or where an order stands. An AI assistant can check there, authenticated and limited to approved data. What’s possible depends on the interfaces.

Example
An inventory lookup from the assistant.
Stock levels are in the ERP system, data sheets in the document management system (DMS), and so far someone looks up both by hand. Now the question goes to the AI assistant. A small program on the company network, called an MCP server, fetches both at once.
- AssistantAsks about item 4711
- MCP serverAuthenticated, one tool
- ERPStock, read-only
- DMSData sheets, read-only
Stock level and data sheet appear in the assistant without anyone opening the ERP or DMS.

Scope of work
What the connection includes.
Tailored tools
One tool per task, shaped around the team’s questions and the system’s interface.
Sign-in and permissions
Access requires sign-in, permissions are set per tool, and every call is logged.
Connected and documented
The server is connected to the AI assistant and handed over with a description of every tool.
Working together

Intro call
Which questions the assistant should answer and which systems sit behind them.
Design
Define the tools and settle, for each one, what it may read or change.
Development
Build the server and test it with real questions before handoff.
Operation
On the company’s own infrastructure or on a server of its choice. Maintained by Katio Tech, or by the in-house IT team if preferred.

Questions
Quick answers.
What is an MCP server?
A program that makes selected functions of existing systems available to AI assistants as so-called tools, such as “check stock” in the inventory system. The assistant calls them through the Model Context Protocol, an open standard for connecting AI applications to other systems. The server defines which tools exist and what they may do. What can be connected depends on the interfaces and permissions of each system.
Which assistants can use MCP servers?
Any that support the Model Context Protocol, including Microsoft 365 Copilot, agents built in Copilot Studio, ChatGPT, and Claude (according to Microsoft Learn and modelcontextprotocol.io, as of November 2026). Microsoft 365 Copilot needs a Copilot license for each person.
Does the software already come with an MCP server?
Some programs do now, such as the 3CX phone system starting with Update 10, which was still a pre-release at the end of October 2026 (according to 3CX). Then the work is the account, permissions, and setup, and no custom development is needed. If there is no server, or it doesn’t cover the team’s questions, Katio Tech builds one.
Can the assistant change data?
Only if a tool is approved for it. Whether a tool only reads or also writes is set for each tool individually. In the example above, the server may only read.
What if an interface changes?
Then the server needs an update. New tools are added as needed.
What does an MCP server cost?
Each server is priced individually, based on the number of tools, how well the interface is documented, and whether it may also write data. The price is part of the quote after the intro call. Hosting and support are ongoing costs; the assistant is licensed as before. If Katio Tech manages the server, there is a data processing agreement.
